Your AR team is doing two jobs. One of them doesn't need them.
Chasing overdue payments requires skill and judgement. Matching remittances to invoices requires patience and time. Only one of those is automatable.
Processing takes hours before collections can start
At 50 remittances per week, manual matching consumes 10–15 hours of staff time — before your team has touched a single overdue account. Complex batch payments can take 30 minutes each.
Stale Xero data misdirects collections activity
When reconciliation runs a day behind, your AR team is chasing customers who've already paid. That wastes goodwill, staff time, and undermines your DSO.
Errors accumulate at volume
Manual data entry at scale produces mistakes — transposed digits, wrong invoices matched, duplicates missed. Each one takes longer to trace and fix than it took to make.

The time cost
What manual remittance processing costs an AR team
At 50 remittances per week, the hours add up before your team reaches a single overdue account.
of weekly processing time recovered by AR teams processing 50+ remittances per week
Every remittance requires full attention
Reading the PDF, finding each invoice in Xero, applying the correct amount, and verifying the total — each remittance takes 5–15 minutes manually, longer for complex batches.
Collections get squeezed out
When processing runs behind, the AR team is in catch-up mode before the week has started. Proactive collections activity is displaced by reactive data entry.
DSO increases with reconciliation lag
Invoices that are paid but unreconciled inflate your debtor days and distort your AR reporting. Collections calls go to customers who've already paid.
Time savings estimate (50 remittances/week)
| Task | Time saved |
|---|---|
| PDF reading | ~8 min |
| Invoice matching | ~12 min |
| Xero entry | ~7 min |
| Total per remittance | ~27 min |
How it works
From remittance received to Xero reconciled — automatically
Incoming remittance PDFs are parsed, matched to open invoices in Xero, and applied automatically. Your team reviews only the exceptions — the small percentage that needs a human decision.
Step 1 — Remittance arrives
A customer sends a PDF remittance — via email, supplier portal, or direct upload. It's forwarded to Remittance Go automatically via an inbox rule.
Step 2 — Data is extracted
Remittance Go reads every line of the PDF — payer name, payment date, total amount, and every individual invoice reference and amount.
Step 3 — Invoices are matched
Each extracted line is cross-referenced against open invoices in Xero. Batch payments covering dozens of invoices are allocated in a single step. Exceptions are flagged.
Step 4 — Applied to Xero
Matched invoices are marked paid. Bank lines are ready to reconcile. The remittance history is updated. Your team reviews exceptions — not every remittance.

For AR teams
Built for high-volume accounts receivable
More remittances. Less manual work. More time for collections.
Review exceptions, not every remittance
Routine remittances — the majority of your volume — are matched and applied to Xero without your team touching them. Only the exceptions surface: a new payer format, a mismatched reference, a short payment that needs a decision.
Most AR teams find exceptions take 15–20 minutes to clear. The rest of the week's remittances are handled automatically.

Always know which invoices are genuinely outstanding
When reconciliation runs behind, your AR reports are stale and collections calls are misdirected. Remittance Go processes remittances as they arrive — your Xero invoice statuses are always current.
Collections activity is targeted at actual debtors, not customers whose payments are sitting unprocessed in a queue.
A complete record for every dispute
When a customer disputes a payment or claims an invoice is outstanding, you pull up the original remittance, the matched invoices, the amounts applied, and the timestamp — immediately.
No manual reconstruction. No searching through email threads. The record is always there.

Frequently asked questions
Can multiple AR team members use Remittance Go simultaneously?
Yes. Multi-user access with role-based permissions allows different staff to be assigned to different customer accounts or exception types. Larger AR teams can divide workload by customer segment or region.
How does the exceptions workflow work in practice?
When Remittance Go can't match a remittance with confidence, it flags the item in the exceptions queue with the original PDF, the invoices it tried to match against, and the reason for the mismatch. Your staff reviews the exception and completes the reconciliation — typically a few minutes per exception.
Can Remittance Go handle remittances where the customer uses their own PO number?
Yes. Fuzzy matching handles common reference variations — leading zeros, spacing differences, PO numbers, and partial matches. For customers who consistently use their own references, the mapping is learned over time.
What reporting is available for AR management?
The remittance history provides a searchable, exportable archive of every processed remittance — useful for management reporting on throughput, accuracy, and exception rates. The batch payment trail gives a complete audit log for each reconciliation event.
Can remittance records be used as evidence in payment disputes?
Yes. Remittance Go keeps a complete record of every processed remittance — original PDF, matched invoices, amounts applied, and timestamp. Pull up any payment record immediately when a customer queries it.
Does Remittance Go integrate with ERP or CRM systems?
The primary integration is with Xero, with secondary integrations for QuickBooks and healthcare platforms. API integration with ERP systems is on the roadmap. Contact the team to discuss your specific requirements.
