Law firm billing cycles create natural AR complexity. Reconciling manually makes it a weekly burden.
Corporate clients consolidate invoices. Matter numbers don't match invoice numbers. Every transaction needs to be traceable. Manual entry creates friction at every point.
Clients pay multiple matters in one EFT
A client with ten active matters sends a single monthly payment covering all of them. Matching that payment manually means opening each matter invoice in Xero and applying the correct amount — one by one.
Remittances reference matter numbers, not Xero invoices
Clients reference their own matter numbers and file references — not the Xero invoice number your firm uses. Manual matching requires translating between the two for every payment.
Every transaction needs to be traceable
Law firms operate under strict record-keeping obligations. If a payment was applied incorrectly — or a client disputes how funds were allocated — the records need to be available immediately and accurately.

How it works
From client EFT to reconciled matter invoices in Xero
Remittance Go reads client payment schedules, matches each matter reference to the correct Xero invoice, handles partial payments and instalments, and applies the full batch — with a timestamped record of every action.
Step 1 — Client payment arrives
A client sends an EFT with a remittance schedule listing each matter reference and the amount paid. It's forwarded to Remittance Go automatically.
Step 2 — Matter references extracted
Remittance Go reads each line from the payment schedule — matter reference, file number, invoice amount, and any credit or deduction applied.
Step 3 — Matched to Xero invoices
Each matter reference is matched to the corresponding invoice in Xero. Once a client's reference conventions are established, subsequent payments are matched automatically.
Step 4 — Applied, discrepancies flagged
The full batch is applied to Xero. Partial payments are tracked against invoice balances. Overpayments and underpayments surface as exceptions before being posted.

For legal
Built for the billing structures law firms actually run
Multi-matter. Payment plans. Disbursements. Full audit trail.
Match on matter numbers, not just invoice numbers
Corporate clients reference their own matter numbers, file references, and purchase order codes — not your Xero invoice numbers. Remittance Go's matching logic handles this.
Once a client's reference conventions are mapped — typically from the first remittance — subsequent payments from that client are matched automatically. No manual translation required.

The record your clients will ask for
When a client disputes a payment — claiming an invoice was already paid, or querying how funds were applied across matters — you pull up the original remittance, the matched invoices, the amounts applied, and the timestamp. Immediately.
No manual reconstruction. No searching email threads. The record is always there.
Track payment plans accurately across billing cycles
Clients on payment plans — paying a large matter invoice in three monthly instalments, for example — are tracked accurately across billing cycles. Each partial payment is applied to the original invoice in Xero, and the outstanding balance is updated automatically.
Your AR reports always show the correct remaining balance, regardless of how complex the payment arrangement is.

Frequently asked questions
Can Remittance Go match payments using matter numbers rather than Xero invoice numbers?
Yes. The matching logic is flexible and configured to match on matter reference codes, file numbers, and other identifiers that appear in client remittances. Once the mapping for a client is established, their remittances are matched automatically using their own reference conventions.
Does Remittance Go work with legal practice management software like LEAP or Actionstep?
Remittance Go integrates at the Xero layer. If your practice management software pushes invoices to Xero, Remittance Go sees those invoices and matches payments against them. Contact the team to confirm your specific setup is supported.
How does Remittance Go handle trust account payments?
Remittance Go operates on the general invoice ledger in Xero. Trust account transactions are typically managed in dedicated trust accounting software or a separate Xero organisation. If you have a specific trust accounting setup to discuss, book a call with the team.
Can partial payments be tracked across multiple billing cycles?
Yes. Each partial payment is applied to the original invoice in Xero, and the outstanding balance is updated automatically. If a client is paying a large matter invoice in three monthly instalments, each payment is tracked against the invoice across billing cycles.
What happens if a client overpays or underpays an invoice?
Overpayments are flagged for review and can be handled as a credit against a future invoice. Underpayments are applied as partial payments, with the shortfall remaining as an outstanding balance. Both surface as exceptions before anything is posted to Xero.
Is the remittance history sufficient for compliance record-keeping?
Remittance Go maintains a complete record of every processed remittance — original PDF, matched invoices, amounts, and timestamps. For law firm AR compliance purposes, this provides a traceable record of how every payment was received and applied. For trust accounting compliance, consult your trust account compliance adviser.
