Invite Users to Xero
How to add new users to your Xero organisation and assign the appropriate access roles.
Xero lets you give your team, accountant, or bookkeeper access to your organisation with role-based permissions. Here's how to invite new users and control what they can see and do.
1. Navigate to Users
Click your organisation name at the top of the screen and select Settings. Then click Users.
2. Invite a New User
Click Invite a user and enter:
- Name — the user's full name.
- Email address — the address they will use to log into Xero.
3. Assign a User Role
Select the level of access this user needs. For Projects or Xero Payroll (if included in your plan), tick the relevant checkboxes.
For financial access, click Business and accounting and choose one of the four roles:

4. Add a Personal Message (Optional)
Write a short personalised message to include in the invitation email.
5. Send the Invitation
Click Send invite. Xero emails the new user — they click the link in the email to activate their account.
Once activated, their status changes from Pending to Current user in your users list.
6. Modify Permissions Later
To update a user's access at any time, click the menu icon next to their name and select Change permissions.
