How to review and complete your organisation settings so the right information appears on your invoices.
Before you start transacting in Xero, take a few minutes to check your organisation settings. This ensures your invoices display the correct business information from day one.
1. Navigate to Organisation Details
Click your organisation name at the top of the screen and select Settings. Under General, click Organisation details.
Some fields will already be filled in from your initial setup — review them and complete any that are missing.
2. Choose What to Show on Invoices
Enable the option to show your information on online invoices and quotes. Checkboxes will appear alongside each piece of information. Tick the items you want to display.
Note: your trading name and logo show by default and cannot be hidden.
3. Update Basic Information
- Display name — the organisation name shown in the top banner of Xero.
- Legal or trading name — the name that appears on your invoices.
- Logo — upload your logo here; it will appear on invoices sent to customers.
- Line of business — pre-filled from your initial setup.
- Organisation type — your legal structure (e.g. sole trader, company, partnership). Select the best match from the dropdown.
- Business registration number — enter this if applicable, or leave it blank.
- Description — a short summary of what your organisation does. This text appears in the footer of your online invoices and quotes if you make it public.
4. Enter Contact Details
- Postal and physical address — if they're the same, tick Same as postal address to avoid entering it twice.
- Telephone, email, and website — complete all relevant fields.
- Additional options include extra phone numbers and social media links.
5. Save Your Settings
Review the checkboxes on the right-hand side one final time. Agree to the terms and conditions, then click Save.
