Run and Customise Reports in Xero
How to access, customise, save, and export financial reports in Xero to stay on top of your business performance.

Xero's reporting suite gives you instant visibility into your business finances. Here's how to run, customise, and save your reports.
1. Open Reports
Click Accounting and select Reports.
2. Select a Report
Choose a report from the list. Key reports include:
- Profit and Loss — income and expenses over a period
- Balance Sheet — assets, liabilities, and equity at a point in time
- Aged Receivables — outstanding customer invoices by age
- Aged Payables — outstanding supplier bills by age
- Bank Summary — cash in and out by bank account
- And many more
3. Adjust Report Settings
Once the report loads, change settings to suit your needs:
- Date range — change the period you're reporting on
- Comparison period — compare against a prior period or budget
- Grouping — group data by contact, account, or tracking category
Click Update to apply the changes and refresh the report.
4. Customise the Layout
Click Edit layout to go further:
- Rearrange accounts within the report
- Add account groups or sections
- Change display settings such as showing percentages or hiding zero-balance accounts
5. Save or Export
- Save as — save a custom version of the report with your settings, so it's ready to run again next time.
- Export — download the report as an Excel spreadsheet or PDF for sharing or further analysis.
Run key reports like the Profit and Loss and Balance Sheet regularly to stay informed and catch issues early.
